1. Understand the starting point

Inventory users, groups, documents and permissions in your existing system. Identify dependencies and the people who can validate the result.

2. Decide what belongs where

Distinguish current working documents, reusable knowledge and legacy content. The optional Knowledge base and Legacy archive serve different purposes; decide their role before transferring material.

3. Agree the migration scope

Discuss formats, volumes, metadata and access rules. Establish what can be transferred, what needs preparation and who is responsible for each step.

4. Review before opening access

Check representative groups, documents and user roles. Plan how members will find their way around and how questions will be handled after the transition.
