Practical guide

Choose a platform around real work.

Use concrete scenarios to compare an extranet, its scope and the effort of adopting it.

Choose three representative scenarios

Prepare a committee meeting, inform members about a new resource, and hand over a role to a new delegate. Include the people, documents and access rules each requires.

Ask for a connected demonstration

Follow the same scenario across the interface instead of evaluating isolated feature names. Check whether the relevant information remains understandable at every step.

Build a comparison worksheet

For each provider, record the answer, evidence and unresolved questions.

  • Product fit: which steps work as shown, which need configuration, and which are outside scope?
  • Adoption: what information can be transferred and who prepares it?
  • Access: can the required audiences be represented and checked?
  • Cost: recurring scope, minimums, implementation and options.
  • Operations: documentation, responsibilities and support arrangements.

Separate essential needs from useful additions

Mark the requirements that determine whether the platform can serve your organisation. Treat optional modules as answers to specific needs, rather than a score based on feature count.

Make the internal decision reviewable

Summarise the scenarios demonstrated, the commercial scope and the remaining decisions. A small set of documented evidence is easier to assess than a long list of claims.
